How do I track payments and packages?

The finance center records money — packages, payment requests, balances, and payment history. It does not process payments: money changes hands outside the app, and you mark things paid.
The first thing to know: Team Assist records payments; it does not process them. No money moves through the app. You collect payment however you already do — cash, bank transfer, a payment link from your own provider — and Team Assist keeps track of who owes what and what’s been paid.
The finance center (in the Tools tab) has six sections:
- Balances — athletes with open balances, overdue requests, and remaining package credits.
- Payments — recorded payments that count as paid history, with receipt records.
- Packages — session packages: their payment status, active credits, and any package-linked requests.
- Requests — requests you’ve sent for packages, sessions, or custom balances, with statuses like Draft, Sent, Waiting for Payment, and Paid.
- Reports — exports for payment totals, balances, package credits, and receipts.
- Settings — where you choose how you collect money.
Packages and templates
A package is a block of sessions someone buys up front. You create a reusable package, assign it to an athlete when they buy, and Team Assist tracks credits used and credits remaining. Templates are reusable package definitions so you’re not rebuilding the same package each time.
Credits come off when a session is settled. Marking a session as settled against a package takes one credit from that package, and the remaining credits on Balances and Packages change to match. If you settle a session and the credit count does not move, the two are out of step — that is worth reporting rather than adjusting by hand.
Credits belong to the coach who sold the package. A package bought from one coach or trainer is spent on that person’s sessions. If an athlete works with more than one person, each one’s packages are counted separately, and a credit from one does not pay for the other’s session.
How payment collection works
In Settings you pick a payment mode:
- Track Only (the default) — Team Assist creates requests, balances, payment history, and package status. The connected parent or adult athlete is told to contact you for payment; you record what you receive and mark it paid.
- Payment Links — adds a Pay Now button that opens your own provider (a Venmo handle, PayPal, Square, Stripe, or a custom link you supply). The app itself puts it this way: “Payment links open your provider. You still confirm the money arrived, then mark the request paid in Team Assist.”
- Built-In Payments — shown in Settings but not enabled: the app describes it as a future automated version, and the message shown for it today is “In-app payments are not enabled yet.”
Whichever mode you use, marking something paid is your action, based on money you actually received — the app never assumes.
