How do I schedule a session?
Last updated
Sessions are created in the Schedule tab — pick a type, time, and location, choose athletes or a team, and optionally make it repeat. Cancelling asks before deleting and can pre-fill a message to the group.
The Schedule tab is where sessions live, alongside the session builder, playbooks, and locations.
Creating a session
You build a session by choosing the session type, picking the date, time, and location, and selecting the team or athletes taking part. You can attach a playbook if you want a plan to run from, and reusable session templates fill in the repeated setup — you still choose the new date and time before saving.
Repeating sessions. A session can repeat — the options are Does Not Repeat, Daily, Weekdays (Mon–Fri), Weekly, Monthly, or Custom. Team Assist generates the series up front (up to 30 sessions in a series). In the Coach profile the Repeat choice sits in the session builder; in the Trainer profile use the Advanced Session Form (New Session → Advanced Session Form) to set a repeat. The whole series publishes to your athletes together — every occurrence appears on their side at once, and Cancel All in Series removes every occurrence from their side too. If a series ever looks different on an athlete’s phone than on yours, that is worth reporting.
Seeing the whole day
Schedule → Sessions also looks back. Under Today and Upcoming, a Past · last 30 days section lists the sessions that have already happened, newest first — the same row, tap to open it. Older than 30 days is not shown there; use search or the athlete’s history.
Schedule → Sessions lists every session for the day, however many there are. The Today section on Home is a summary and stops after the first few, with a line telling you how many more there are — so if the two screens show different numbers, Schedule is the one to trust.
Editing and rescheduling
Rescheduling is editing: open the session and change its date or time. Deeper changes go through Advanced Edit on the session.
Moving a session keeps its length. Change the start time of a one-hour session and it stays one hour — the end time moves with the start. To make a session longer or shorter, change the end time (or the duration) yourself.
Cancelling and deleting
Deleting a session always asks first. For a repeating session you choose between Cancel This Session and Cancel All in Series. The confirmation warns that related payment records are removed along with the session.
There’s also Cancel and Message Group, which removes the session and pre-fills a text message to the people involved (“… has been canceled”) so you’re not typing the same thing twice.
A cancelled session leaves the list straight away. You don’t need to close and reopen the app to see it go.
Team Assist takes a backup snapshot before deleting, and snapshots can be restored from Tools → Settings → Backup — so an accidental deletion is recoverable.
Bookable slots and All Teams
A bookable slot is an open session people can claim rather than one you assign. Your Sessions list shows how many spots are still open on each slot — 3/10 open, or Full — the same count the families see. When a claimed slot ends, a credit is taken from the athlete’s package on its own: a package sold with a session type only pays for sessions of that type; a package sold without a type pays for any session. If the family holds both, the matching typed package is used first. Setting a slot to All Teams publishes it to everyone connected — it is not limited to a particular team. If you set a slot to All Teams and nobody appears to be receiving it, that is worth reporting.
Assigned sessions work the other way round: they go to the athletes on them.
Changing a session’s location
Open the session and tap Location to move it. If the session is part of a repeating series, Team Assist asks whether the change is for this session only or this and the upcoming sessions in the series. Either way, the connected family sees the new location right away — no need to resend anything.
Who sees your sessions
Sessions appear automatically for the connected parent or adult athlete of each athlete involved, and removing a session removes it for them too. If nobody is connected for an athlete, nothing is shared — see who can see what.
Your iPhone’s Calendar
If you allow calendar access when asked, Team Assist adds sessions to your iPhone’s Calendar — with the time, location, and athlete names — updates the event when the session changes, and removes it when the session is deleted. Declining access changes nothing else; sessions just stay inside Team Assist.
