How do I add athletes, clients and teams?

Quick answer

One athlete record holds everything about that person — contacts, notes, sessions, packages. Teams group athletes together, and an athlete can be on more than one.

There’s one kind of record for a person you coach: the athlete record. Whether you think of someone as a client, a roster entry, or a team member, it’s the same record — teams are just groupings of athlete records.

The Athletes & Teams page

The Athletes tab opens on four tiles that read your roster at a glance — how many athletes are Active, how many Teams you have, how many families have Access (a connected parent or adult athlete), and your Staff count. Below them a switch flips the list between Athletes, Teams, and Staff, with Add Athlete next to the list.

Athlete Skill Levels on this page is where your internal labels live — they group athletes and guide sessions, and they’re internal: families never see them.

Tapping an athlete opens their page: who they are, their team, their skill level if you’ve set one, and Active / Connected at a glance, with attendance, remaining credits, and any payment due right under it. The Quick Actions grid underneath — Assignments, Checklists, Message, Info, Progress, Access — is the fast route to everything else in this guide; Access is where invites live.

The athlete record

An athlete record holds the athlete’s name, the parent or guardian’s name, phone number and email (with room for a second guardian), notes, strengths and weaknesses, and an optional internal skill level. Sessions, attendance, packages, payments, availability, and progress history all hang off this record.

It stands on its own. It doesn’t need a parent or adult athlete connected to be complete — scheduling, teams, billing, and notes all work regardless. See inviting a parent or an adult athlete for what connecting someone adds.

Teams

Teams group athletes for practices, games, rosters, and group updates. An athlete has a primary team and can also be associated with additional teams, so being an individual client and a team member at the same time is normal, as is being on several teams. Trainer profiles can skip teams entirely and work one athlete at a time.

Two children in the same family

Adding a second athlete in a family you already coach works the same as adding the first: create the athlete record, then send that child’s own invite code. Each child has their own code, and the second child appears as their own record on the roster.

If you connect a second child and one of them then seems to disappear from the Teams page, that is worth reporting rather than working around — see reporting a problem.

Athletes without a guardian on the record

An athlete record can be created and saved with no parent or guardian name on it. Nothing is required beyond the athlete themselves, and the record stays put. You can add guardian details later, or never.

Removing someone

There is one action here, and it is permanent:

  • Delete Athlete, under Danger Zone, asks for confirmation and then removes the record along with its availability, packages, package usage, attendance, and requests. The athlete is also taken off their sessions; a session left with no athletes at all is removed too.

Team Assist takes a backup snapshot before a deletion, restorable from Tools → Settings → Backup. If you only want someone off your active list rather than gone, set them Inactive instead — that is reversible, and deletion is not.
